The state apostille office on Dwight Street

Springfield is one of three places where the Secretary of the Commonwealth handles apostilles. The Western District Office is at 436 Dwight Street, Room 102, Springfield, MA 01103, and the Secretary’s site says it certifies the signatures of public officials and affixes apostilles to documents going out of the country. Published hours are 8:15 a.m. to 4:30 p.m., Monday to Friday, and the phone number is 413-784-1376.

The fee is $6.00 per document, paid by check or money order to the Commonwealth of Massachusetts. For the regional offices the Secretary’s site says only that the number of documents and turnaround times will vary, so call before you go. The same-day counter rule for up to three documents is published for the Boston office at One Ashburton Place, Room 1719, and mailed requests to Boston take two to three weeks.

What the Secretary will and will not certify

The office certifies an original signature of a Massachusetts notary public, justice of the peace, city or town clerk, court clerk or registrar of vital records. Photocopied signatures are not certified, and the request form says the office does not authenticate notarized copies of government-issued documents or any federal or out-of-state document.

For a translation, that means the apostille attaches to a notary’s signature on the translator’s statement. When a translation needs to be notarized for Massachusetts, we hire a notary commissioned in Massachusetts to notarize the translator’s statement, and we can help with the apostille request.

Springfield records you may need translated or apostilled

Massachusetts vital records are issued by city and town clerks as well as by the state registry. Ask for a certified copy, since the apostille office needs the clerk’s or registrar’s original signature.
